Club Administrators: permissions, teams and the limit
Clubs
Give a trusted person exactly the permissions and teams they need. A club can have one Club Administrator for each active team.
- The club's owner, or a Club Administrator with Invite Users, opens Staff & roles, presses Invite staff and chooses Club Administrator, then enters an email address or picks a coach already on the club's coaching staff. You confirm it is you before the invitation is sent.
- We email the invitation. The person signs in, or creates an account with that same address, opens My club roles, reads what the seat allows, ticks that they will keep what they see within the club, and accepts. Until then the seat shows as pending in Staff & roles; once accepted, they open the club from My club roles.
- A seat belongs to the person's own adult coach profile: somebody who is not a coach creates one first. When subscriptions are switched on, it also needs a paid coach subscription. Administrators and managers need a passkey or an authenticator app before they can use team management.
- The limit: one Club Administrator for each active (not archived) team, and always at least one. Active seats and invitations not yet answered both count; the owner, managers and team staff do not. While the club is full, Club Administrator cannot be chosen when inviting or changing a role. Archiving a team removes nobody, but no administrator can be added until the club is under the limit again. Need more? Ask us: a Site Administrator can set a different limit for your club.
- There are 22 permissions, in seven groups: Club, Team, Match Day, Session planner, Recruitment, Financial and Users. Each role starts with its usual set ticked — a Club Administrator gets every permission except Manage Billing — and you can tick or untick each one, within what the role may hold. Manage Branding, Manage Documents and Manage Billing can already be ticked, but nothing uses them yet.
- Teams: an administrator or manager covers All teams or only the teams you choose; team staff always have chosen teams. A person sees only the teams they cover, with their squads, players, coaches, fixtures, matches and statistics. Create/Edit/Delete Teams and Manage Memberships concern the whole club, so they work only with All teams.
- A Club Administrator with All teams and Manage Permissions is a super administrator of the club. Only the owner or a super administrator can change or remove a Club Administrator's seat. Super administrators also see the whole activity log and can export it.
- Two rules always hold: nobody can change their own seat, and nobody can give or take away a permission they do not hold themselves — or All teams, unless they cover all teams. Changing someone's permissions or teams asks you to confirm it is you.
- Every invitation, every change of permissions (with the ticks before and after), every change of teams and every removal is in the club's activity log.
- The club portal shows each person only the tabs their permissions allow, but the database checks every request itself: a hidden menu is never the protection.
